Credential compliance for school staffing: a practical checklist

The credentials that matter most for K-12 placements, why expiration tracking is non-negotiable, and how a compliance gate protects students and districts.

Compliance is the core of education staffing. The cost of placing an uncredentialed worker — to students, to the district, and to the agency — is far higher than the cost of a slower placement.

The credentials that matter

  • State license or certification for the role
  • DOJ + FBI background check (often via LiveScan)
  • TB clearance
  • Mandated-reporter training
  • Fingerprinting and, for some roles, a drug screen
  • Expiration tracking is the hard part

Collecting a credential once is easy. Keeping it current across an active workforce is where most programs fail. Credentials lapse silently. A modern platform watches expiration dates on active workers, warns before a lapse, and blocks billing the moment a required credential expires.

A hard gate, not a soft warning

The submission gate should be a hard stop: no advancing a candidate to a district until every requirement is met. Soft warnings get ignored under fill pressure — and that is exactly when mistakes happen.
